Orders Overview

Orders Getting Started:
- When you activate a marketplace in FillZ, FillZ will begin retrieving orders that are placed from that point forward.
Workflow:
The flow for processing orders can differ between sellers. Here is a basic work flow that is helpful for most users:
- All orders come into "New" status on the Orders page
- Move the orders to "In Process" by clicking on Select All, and then clicking on "Update Status All Selected to: In Process".
- From there you can click on View All Packing Slips if you would like to print packing slips for the orders that have been moved to In Process. If you need mailing labels, you can click on View All Mailing Labels (be sure to set up your Mailing Labels on the Settings page of your FillZ account first).
- You also have the option of printing a pull list for your orders. To do this, click on Pull List, and change “In Status” from New to In Process.
- You can print postage on the Postage screen. To get to this screen, click on Postage on the right hand side of the screen. To see directions for printing postage using Endicia Dazzle, please follow this link: http://wiki.fillz.com/wiki/index.php/Print_Postage
Searching Orders:- Depending on which "Order" status page you are viewing, there are different search functionalities:
- New, In Process, Shipped, Deferred, Cancelled: You can search by ISBN, SKU, FillZ Order number, Marketplace Order Number, or keywords in the title, address, buyer email or buyer name.
- PullList:You can sort this page by newest, oldest, sku, location, author and title.
- Postage:You can sort this page by Order Number, Location/SKU, SKU, Zip Code, Author, Title.
Moving Orders:- There are 5 distinct order statuses:
New: All orders retrieved by FillZ appear in "New' status when they are first imported into FillZ.
- When orders are in "New" status, you can view a concise list of your new orders by clicking on "PullList".
- We recommend that you move all orders from "New", regardless of whether the market requires confirmation (see below). Leaving a significant amount of orders in "New" status will delay the load time of the "Orders" page.
In Process: You can move orders to "In-Process" as you are pulling them from your inventory.
- Once your orders are moved to "In Process", you can begin printing your postage. For more information click here.
- Alibris and AbeBooks allow you to confirm orders when they are moved to "In Process". We recommend that you enable this feature to meet marketplace confirmation deadlines as you are processing your orders. You can enable this feature by following the instructions below:
- Click "Settings" --> "Marketplaces" --> "Configuration for AbeBooks".
- Check the box beside "Enable auto-confirmation on marketplace (when order moved to 'In-Process').
- Click "Save."
- Repeat for Alibris.
- AbeBooks only charges credit cards when orders are confirmed. If you check this option, and a credit card is rejected for an order, Fillz will prevent that order from being moved to "In Process", effectively alerting you to the rejection before you move the order to "Shipped".
Shipped: Once your orders are moved to "Shipped", a confirmation email is delivered to your buyers. To learn more about customizing your Confirmation Email, click here.
- If you have "Charge When Ship" enabled in FillZ for Amazon, FillZ will send confirmation files to Amazon when you move your orders to "shipped" status. For instructions on enabling Charge When Ship, please click here.
Deferred: You will likely not have to use this status very often; however, you may want to move orders to this status if any items in the order are back-ordered.
Cancelled: If a buyer cancels or returns an order, you would move the order to "Cancelled" status.
- You will receive a refund of your FillZ commission for any orders that are moved to "Cancelled" before the 2nd day of the month after the order came in. For example, if you received an order on September 3rd and the buyer cancelled or requested a refund, as long as the order is moved to "Cancelled" by October 2nd, you will receive a refund on the commission fee.
- Moving an order to "Cancelled" on FillZ DOES NOT cancel the order on the Marketplace. All refunds should be processed directly on the Market.

Markets on which confirmation is optional/not required:
Moving Orders in Bulk:- There are two ways that you can move orders in bulk:
1. On the "Orders" page, you can click "Select All" and choose a status from the drop-down menu beside "Update Status All Selected" and click enter.
2. Click on "Batch Move" and scan or enter your orders, one per line.
- You can also add your Tracking Numbers on the same line after your order numbers (use a space or a comma between them).
Adding OrdersIf you need to add orders that you receive either from a Custom Market or from your Brick & Mortar store, you can use the instructions below:
1. On the Orders page click "New Order".
2. The following information is required:
- Marketplace
- Marketplace Order
FillZ will automatically create an Order ID for this order.
At this point, you can change Shipping Method, Payment Status, Shipping Address, etc. The one piece of information that you can't add at this point is a SKU from your inventory. After editing any of the previously mentioned fields, click "Save".
3a. After you have saved the order, you can browse your inventory by a entering a SKU and clicking "Search" under the "Items" header. Once you have found the item you wish to add to this order, checking the box in the "V" column and click "Add Selected Items".
NEW FEATURE 3b. Once you have found and added your SKU, you can update the quantity and edit the price if you need to. See below:
4. Save your order once you have added all of the necessary details.
5. This order will appear under "New" orders.
